Job Title:  Sales & Administration Intern
Reports to:  National Sales Manager
Period of internship:  3-6 months
Location:  Nairobi, Kenya

OVERALL PURPOSE

To contribute to the achievement of DKT Kenya objectives by assisting in efficient and accurate processing of sales orders between DKT customers, DKT headquarters and DKT’s third-partylogistics service provider. Support the sales team with the requisite admin support for the execution of promotional campaigns through the processing of material requests and reconciliation and reporting usage for accountability. Contribute to team productivity by ensuring efficient and effective handling of administrative tasks for Salesforce application CRM and KPIs tracking and reporting.

KEY RELATIONSHIPS

External – DKT customers; third-party logistics company (Imperial Management Solutions)

Internal – Across the organization maintain effective communication with all departments, especially with Finance, Marketing, Programs and Procurement

MAIN DUTIES AND RESPONSIBILITIES

Order processing and tracking, Sales team support and general admin

  • Assist in processing of customer orders from the sales force and in tracking delivery of customer invoices and delivery notes; record invoices and delivery notes in DKT accounting system.
  • Create and maintain an accurate and detailed order-tracking system.
  • Handle sales and order inquiries from the DKT Salesforce.
  • Liaise with first-line sales manager to ensure distributors submit sales and stock reports within set deadlines.
  • Develop a monthly schedule in consultation with the first-line sales managers for support of the sales team for issuing samples, POSM and merchandise.
  • Update the tracker for samples, merchandise and POSM issued every month.
  • Coordinates and receives Sales team monthly claims for processing
  • As needed, support Sales Management to track salesforce performance – including completion of route plans, effective call rate, drop size, and other KPIs.

Salesforce Reporting App/CRM

  • Ensure efficient and effective handling of administrative tasks and team support – Timely update of new customer database and attending to geo-fencing requests from sales reps.
  • Ensure prompt and effective response to all issues regarding team support that are raised on the respective WhatsApp group.

  • Accuracy of order processing
  • Timeliness of order processing
  • Accuracy of order tracking

Required Qualifications

  • Minimum bachelor’s degree in business, entrepreneurship, or related discipline
  • Recently completed degree studies in the last 2 years
  • Exposure in a fast-paced commercial office environment is an added advantage
  • Excellent attention to detail
  • Advanced Microsoft Office skills (especially Excel)
  • Excellent verbal and written English communication skills
  • Superior time management and organizational skills
  • Proactive
  • Highly effective customer service skills
