Vacancy Description
Archdiocese of Nyeri, Central Finance office is seeking to recruit for a competent, qualified and suitable person to fill the position of ACCOUNTS ASSISTANT.
Job Purpose:
Implementation of the financial strategy and the diocesan policies through the Central Finance Office to the central finance departments supporting day-to-day accounting operations, ensuring accuracy and efficiency in financial processes in line with the business objectives.
Key Duties and Responsibilities:
Financial Transactions Management:
- Manage and monitor the timely servicing of central finance recurrent expenditure, particularly utility bills and routine obligations.
- Post creditors’ invoices into the system promptly and follow up on delayed invoices.
- Post monthly payroll journals and payments into the system.
- Review requisitions against approved budget provisions.
- Prepare an updated pending requisitions schedule and share with the Credit Controller, CFO and Finance Administrator on daily basis.
- Prepare payment vouchers and ensure due support documentation for approved payments.
- Manage petty cash and imprests, ensuring payments are authorized and documented.
- Prepare and share petty cash and imprest lead schedules with the CFO on daily basis, ensuring all transactions are accurately recorded in the system.
- Ensure receipting of all incoming funds (Cheques and direct deposits) and post them to the relevant ledgers.
Financial Record Keeping:
- Maintain reconciled registers of designated funds and subsidies processed through the central finance office.
- Control office expenses by monitoring consumption of stationery and utilities.
- Track unit requisitions to ensure timely service and uninterrupted operations.
- Maintain an updated register of all diocesan contributions through the central finance office such as Family Day Collections and Contribution to reserve fund and report on monthly or per need basis.
- Performing any other relevant duty as may be assigned.
Required Qualifications and Skills:
- Diploma in Accounting or any other related discipline;
- CPA Intermediate level or its equivalent;
- Proficiency in QuickBooks and Microsoft Office Suit is a MUST;
- At least 2 years relevant work experience;
- High level of confidentiality;
- Good communication and interpersonal skills capable of maintaining strong relationship;
- High level of integrity and professionalism;
- Accuracy and consistency in report management, preparation and presentation.
