Qualifications, Skills and Experience Required:<\/h4>\n

For appointment to this grade, a candidate must have: -<\/p>\n

    \n
  1. Bachelor\u2019s degree in any of the following disciplines:- Secretarial Studies; Business and Office Management or equivalent qualification from a recognized institution;
    \nOR<\/li>\n
  2. Bachelor\u2019s degree in Social Sciences plus Diploma in Secretarial Studies from a recognized institution; and<\/li>\n
  3. Proficiency in computer applications;<\/li>\n<\/ol>\n

    Responsibilities:<\/h4>\n

    This is the entry and training grade for this cadre. An officer at this level will work under the guidance of a senior officer.<\/p>\n

    Duties and responsibilities at this level entail:<\/p>\n

      \n
    • Taking oral dictation;<\/li>\n
    • Using e-office to research and process data;<\/li>\n
    • Operating office equipment;<\/li>\n
    • Attending to visitors and client;<\/li>\n
    • Handling telephone calls;<\/li>\n
    • Handling customer inquiries and complaints;<\/li>\n
    • Coordinating travel arrangements;<\/li>\n
    • Ensuring security of office records, equipment and documents, including classified materials;<\/li>\n
    • Ensuring security, integrity and confidentiality of data;<\/li>\n
    • Updating an up-to-date filing system in the office;<\/li>\n
    • Drafting responses to routine correspondence;<\/li>\n
    • Managing office protocol and etiquette;<\/li>\n
    • Identifying areas of risk in the department;<\/li>\n
    • Implementing the department\u2019s charter;<\/li>\n
    • Promoting Business Process Re-engineering (BPR);<\/li>\n
    • Implementing the business continuity plan for the department; and<\/li>\n

      1. Certificate of Good Conduct from the Directorate of Criminal Investigations.<\/li>\r\n\t
      2. Tax Compliance Certificate from the Kenya Revenue Authority.<\/li>\r\n\t
      3. Clearance Certificate from the Higher Education Loans Board (HELB).<\/li>\r\n\t
      4. Clearance Certificate from the Ethics and Anti-Corruption Commission (EACC).<\/li>\r\n\t
      5. Report from a Credit Reference Bureau (CRB).<\/li>\r\n<\/ol>\r\n
