This role holder will manage the front desk, assist visitors and staff, and handle logistical support. You'll ensure smooth office operations and effective communication.<\/p>\n<hr \/>\n<p>Sightsavers Kenya is an international non-governmental organization that has worked in Kenya since 1952 to prevent avoidable blindness, treat neglected tropical diseases, and promote rights for people with disabilities. They train health staff, provide eye surgeries (cataracts), and work with the government to improve eye health services.<\/p>\n<p><strong>Administrative Assistant\/Receptionist<\/strong><\/p>\n<p><strong>Reports to: <\/strong>Administrative Officer<br \/>\n<strong>Responsible for: <\/strong>N\/A<br \/>\n<strong>Department: <\/strong>Operations, planning and Finance<br \/>\n<strong>Salary<\/strong>: Local terms and conditions apply<br \/>\n<strong>Location<\/strong>: Nairobi, Kenya<br \/>\n<strong>Contract<\/strong>: 24-month Fixed Term Contract<br \/>\n<strong>Hours<\/strong>: Full time \u2013 35 hours per week<\/p>\n<h4>Job purpose<\/h4>\n<p>The Administrative Assistant is responsible for provision of front office and support services in effective and efficient manner. S\/he will ensure the day-to-day operation of the front office desk is undertaken and staff and visitors experience a pleasant and amiable personality. S\/he will ensure all queries and requests are dealt with satisfactorily and executes assigned administrative tasks to the highest quality standards as requested.<\/p>\n<p>The Administrative Assistant will support Admin Officer in the general office support functions.<\/p>\n<h4>Principal accountabilities:<\/h4>\n<p><strong>1. Front office management 40%<\/strong><\/p>\n<ul>\n<li>Greet and welcome guests as soon as they arrive at the office<\/li>\n<li>Direct visitors to the appropriate person and office<\/li>\n<li>Answer, screen and forward incoming phone calls<\/li>\n<li>Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)<\/li>\n<li>Provide basic and accurate information in-person and via phone\/email<\/li>\n<li>Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, opening office door)<\/li>\n<\/ul>\n<p><strong>2. Office Support Services 50%<\/strong><\/p>\n<ul>\n<li>Draft outgoing correspondence on behalf of staff as and when requested.<\/li>\n<li>Facilitate travel needs of staff and visitors as needed in collaboration with the office driver and with taxi companies and\/or travel agencies Coordinate the travel and accommodation of foreign staff and visitors to Kenya in conjunction with the head office travel department. This includes travel visas as and when needed, arranging airport transfers, ensuring accommodation, meals and any other visitor requirements are attended to.<\/li>\n<li>Make requisitions for small petty cash payments to staff\/or suppliers with relevant approvals and call on suppliers to collect cheque payments.<\/li>\n<li>Oversee office cleaning is carried out as required.<\/li>\n<li>Oversee general safety and security in the office including keeping custody of spare keys and maintenance of First Aid kit<\/li>\n<li>Facilitate meetings at the office or hosted by Sightsavers outside the office amenities (coffee, teas, lunches) are in place by ensuring adequate Take minutes during meetings as and when requested.<\/li>\n<li>Facilitate an effective working environment by ensuring timely opening of the office and ensuring that all essential services (utilities, internet, telephone), supplies, stationery and amenities are available to staff and visitors as needed.<\/li>\n<li>Facilitate incoming and outgoing correspondence including distribution of incoming mails to relevant staff, timely sending of outgoing correspondences, scanning, photocopying and archiving of documents as needed.<\/li>\n<\/ul>\n<p><strong>3. Procurement and stock keeping 10%<\/strong><\/p>\n<ul>\n<li>Liaise with Admin Officer for office procurement requirements<\/li>\n<li>Issue LPO in the absence of Admin Officer<\/li>\n<li>Request various supplies on behalf of staff as requested.<\/li>\n<li>Maintain stock for office supplies and replenish when required.<\/li>\n<\/ul>\n<p>The principal accountabilities are not meant to be an exhaustive list of tasks. The need for flexibility is required and the job holder is expected to carry out any other related duties that are within the employee's skills and abilities whenever reasonably instructed.<\/p>\n<h4>About you<\/h4>\n<p><strong>Knowledge (Education &amp; Related Experience):<\/strong><\/p>\n<ol>\n<li>Tertiary qualification in Front Office Management or Administration (At least a Diploma) or equivalent professional qualification from a recognized Tertiary institution.<\/li>\n<li>Working experience in a front office management role in a reputable organisation.<\/li>\n<\/ol>\n<p><strong>Skills (Special Training or Competence):<\/strong><\/p>\n<ol>\n<li>Proven work experience as a Receptionist, Front Office Representative or similar role<\/li>\n<li>Proficiency in Microsoft Office Suite<\/li>\n<li>Hands-on experience with office equipment (e.g. teleconferences and printers)<\/li>\n<li>Professional attitude and appearance. 5. Solid written and verbal communication skills<\/li>\n<li>Ability to be resourceful and proactive when issues arise<\/li>\n<li>Excellent organisational skills<\/li>\n<li>Multitasking and time-management skills, with the ability to prioritize tasks<\/li>\n<li>Customer service attitude<\/li>\n<li>Tendency to persevere with objectives until they are accomplished.<\/li>\n<\/ol>\n<p><strong>Core behaviours:<\/strong><\/p>\n<ul>\n<li>Networking both within and outside the organisation<\/li>\n<li>Change and improvement-consistently strives to achieve high standards of performance.
