Grants and Awards Intern<\/strong><\/p>\n

ROLE PURPOSE:\u00a0<\/strong><\/p>\n

The Awards Management intern will provide overall support to all Awards and Implementing partners. He\/she will liaise with all relevant departments to ensure the effective management of the awards.<\/p>\n

Responsibilities<\/h4>\n

Proposal development<\/strong><\/p>\n

    \n
  • Ensure all award documentation at proposal stage is managed and processed in a timely manner and uploaded onto AMS and that the related workflows are run in a timely manner.<\/li>\n<\/ul>\n

    Awards, Partnerships and AMS Management<\/strong><\/p>\n

      \n
    • Support in preparing for the monthly Award and Partner review meetings, record action points from the meetings and circulate these promptly.<\/li>\n
    • Support in conducting partner vetting and partner assessments<\/li>\n
    • Support in preparation of partner agreements.<\/li>\n
    • Support in preparation of partner payments.<\/li>\n
    • Support in planning for and conducting partner monitoring visits.<\/li>\n
    • Support in ensuring award kick off \u00a0and close out meetings are planned for in a prompt manner and the planning is well-coordinated with the other relevant functions.<\/li>\n
    • Support in maintaining the income tracker and funding tracker and also share the status with the team on a weekly basis.<\/li>\n
    • Support in maintaining the close out backlog tracker and do regular follow ups with the various teams to ensure close out of pending SOFs.<\/li>\n
    • Support the Awards Assistant to populate and share the partner reporting tracker and also update the Awards Management System (AMS) on a timely basis.<\/li>\n
    • Support the Awards Assistant in sending out timely calendar invites for the award led meetings<\/li>\n
    • Support in taking action points in the award led meetings and further getting this reviewed and circulated on a timely basis.<\/li>\n
    • Support in putting together management information from AMS and sharing with the rest of the team via a portfolio analysis report on a monthly basis showing information on awards in pipeline, active awards, awards under amendment, high risk awards and closed awards.<\/li>\n
    • Ensure that AMS is effectively maintained, up to date and accurately records the audit trail for all awards and sub-awards.<\/li>\n<\/ul>\n

      Donor Compliance<\/strong><\/p>\n

        \n
      • Support on donor compliance to ensure requirements such as reporting deadlines, implementation \u00a0period, amendment timing\/procedures, audit and SCI award management policies are well understood and adhered to.<\/li>\n<\/ul>\n

        QUALIFICATIONS AND EXPERIENCE<\/h4>\n

        Essential<\/strong><\/p>\n

        • Bachelor\u2019s\u00a0qualificationin\u00a0Commerce, Economics, Business Administration or equivalent.<\/li>\n
        • Excellentplanning,\u00a0management\u00a0and\u00a0coordination\u00a0skills,\u00a0with\u00a0the\u00a0ability\u00a0toorganise\u00a0a demanding\u00a0workload comprised\u00a0of diverse\u00a0and\u00a0challenging\u00a0tasksand\u00a0responsibilities.<\/li>\n
        • Very\u00a0strong\u00a0capacity\u00a0for attentionto\u00a0detail,\u00a0problem\u00a0solving,\u00a0and\u00a0analysis\u00a0oftrends.<\/li>\n
        • Computer\u00a0literate\u00a0(i.e. Ms Office and knowledge of grant management and\u00a0financial systems would be an added advantage).<\/li>\n
