Job summary and purpose
The Front Office and Social Media Coordinator Intern will be responsible for supporting the day-to-day operations of the front office while assisting in managing the organization’s social media presence. This dual role involves acting as the first point of contact for visitors and clients, providing administrative support, and executing social media strategies to increase brand visibility and engagement.
Duties/Responsibilities:
- Front Office Management
- Greet and assist visitors, clients, and staff with professionalism and warmth.
- Answer and route incoming phone calls, emails, and inquiries, ensuring prompt and courteous communication.
- Maintain an organized, clean, and welcoming front office area.
- Assist in the management of appointments and scheduling for staff meetings and client visits.
- Handle incoming and outgoing mail and deliveries, ensuring proper documentation and timely distribution.
- Manage the Partners calendars.
- Social Media Coordination
- Assist in the development and implementation of social media content strategies across platforms (e.g., Facebook, Instagram, LinkedIn, Twitter).
- Monitor and engage with followers, responding to comments, messages, and inquiries in a timely and professional manner.
- Create and schedule engaging content such as posts, images, videos, and stories to increase brand awareness and online engagement.
- Track and report on social media metrics, including engagement, reach, and growth, and suggest ways to improve performance.
- Stay up to date with the latest social media trends, tools, and best practices to enhance content and engagement.
- Administrative Support
- Provide administrative assistance to the team, including document preparation, filing, and data entry.
- Assist with the organization of office supplies and inventory management.
- Emerging Tasks
- Take on new and emerging responsibilities as required by the team, demonstrating flexibility and adaptability in responding to organizational needs.
- Collaborate with other departments as necessary to ensure smooth operations.
Performance Measures
- Responsiveness: Incoming calls, emails, and inquiries are handled and routed promptly, with a response time of no more than 24 hours.
- Content Quality: Creation of high-quality, engaging, and relevant social media content that aligns with the brand’s voice and objectives.
- Content Posting Consistency: Posts are consistently scheduled and published according to the content calendar.
- Task Completion: Timely completion of administrative tasks such as data entry, document preparation, and office organization.
- Event Support: Effective support in event planning and execution, resulting in smooth and well-coordinated events.
- Office Organization: Proper maintenance and organization of front office and administrative resources, ensuring a well-functioning office environment.
Qualifications
- Currently pursuing or recently completed a degree or diploma in Communications, Marketing, Business Administration, or a related field.
- Strong communication and interpersonal skills.
- Basic understanding of social media platforms and content creation.
- Excellent organizational skills and attention to detail.
- Ability to multitask and handle a fast-paced work environment.
Required Skills/Abilities:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and social media tools such as Canva, Hootsuite, or Buffer.
- Strong written and verbal communication skills.
- A positive attitude and customer service orientation.
- Ability to work independently and as part of a team.
- Interest in social media marketing and digital engagement.
