General Purpose

African Labour Solutions (ALS) client in the manufacturing industry is looking for an HR Officer who will be responsibleforassisting with various HR functions and processes to ensure smooth and efficient operationswithintheorganization. The HRBP will also ensure effective contract management for all employees, facilitateefficient leave management, support HR administration initiatives, and promote positiveemployeerelations, and welfare.

Location: Nairobi
Salary: Ksh. 40,000 to 50,000

Duties & Responsibilities

  • Facilitate workflows by drafting various HR letters, memos, and other correspondences
  • Collect casual and attach’ details as per the schedule and share them with the hrbp–analytics, andcompliance for payment processing.
  • Consolidate transport reimbursement requests and ensure reimbursements are doneonaweeklyschedule.
  • Assist with planning and logistics during various staff engagements.
  • Update and maintain an organized filing system for all staff records.
  • Assist in filling loan application forms, verifying them with the HRBP, and submissiontothebank.
  • Prepare various reports and templates as may be directed from time to time.
  • Ensure that all new staff are enrolled in the medical and pension schemes uponsuccessfulcompletion of their probation.
  • Ensure existing employees are deleted from the pension and medical schemes.
  • Follow up on accurate registration of staff dependent on the company’s medical andpensionschemes.
  • Support the HRBP in taking and drafting minutes during disciplinary hearings.
  • Follow-up with disciplinary committee members and staff for execution of meetingminutesuponapproval.
  • Coordinate and facilitate various staff welfare activities such as bereavement, hospital visits,newborn and wedding kitty, and staff transfers and relocation.
  • Update the shared staff welfare sheet on a daily, weekly, and monthly basis for newborns,bereavements, hospital visits, and weddings for the factory staff.
  • Assist the HRBP with training coordination through sharing training materials andattendancelists.
  • Contract creation: Work closely with the HRBP to create fixed-term contracts for staff.
  • Contract negotiation: Collaborate with the HRBP and prospective junior employees todiscussandagree upon specific contract terms.
  • Contract administration: Ensure that all necessary paperwork and documentationarecompletedaccurately and maintained appropriately.
  • Regularly review and update staff contracts based on any changes in legislation toprotect
  • The interests of both the organization and the factory staff.
  • Inform the HRBP one month before the expiry of contracts for renewal preparations
  • Support in managing probation of new and promoted junior staff.
  • Manage leave for all staff.
  • Share leave balances with the departmental heads and branch managers.
  • Counter-check absent reports and leave reports to ensure they tally andfor attendanceaccountability.

Requirements & Qualifications

  • At least 2 years of experience in a busy HR office
  • Bachelor’s degree in human resources or equivalent
  • Must be an associate member/full member
  • Ability to act with integrity, professionalism, and confidentiality
  • Excellent verbal and written communication skills
  • Exceptional organizational skills and attention to detail
  • Strong analytical and problem-solving skills
  • Able to prioritize, and manage time efficiently
  • Thorough knowledge of employment-related laws and regulations.  Goal-oriented and organized team player
  • Strong ownership mindset and ability to work in a self-directed manner
  • Encouraging to team and staff; able to mentor and lead
