Organizational Positioning

Reports to the Regional Director of PROPARCO’s East Africa Regional Office in Nairobi. Collaborates closely with Investment Officers and coordinates with AFD as needed. High degree of autonomy and confidentiality required.

Job Challenges

Ensure the efficient functioning of the regional office by managing diverse responsibilities. Balance day-today administrative operations with complex coordination duties. Requires excellent prioritization, autonomy, and adaptability.

Support the administrative and operational activities of the PROPARCO East Africa office. Manage internal processes, logistics, database updates, and communication. Facilitate a smooth, well-organized work environment.

Activities and Tasks

Administration

  • Coordinate daily office operations, meetings, travel logistics, and filing systems.
  • Manage expense processing and budget follow-up.

Operations

  • Monitor project developments and support communication with clients.
  • Conduct press reviews and manage financial statement requests.

Database & Information Tracking

  • Take ownership of the team’s internal workspace and portfolio tracking system, currently based on Notion.
  • Enter and regularly update contact details, events, investment opportunities, information on portfolio companies.
  • Ensure database consistency, clarity, and accuracy.
  • Coordinate with team members to collect and refresh data periodically.
  • Suggest and implement logical improvements to the database structure so it remains practical, intuitive, and aligned with the team's evolving needs.
  • Extract and compile relevant data reports or summaries as requested by the team.
  • No advanced IT or coding skills required, but logical thinking, initiative, and a problem-solving mindset are essential

Presentation & Research Support

  • Assist with the preparation of team presentations.
  • Collect and summarize macroeconomic and regulatory information for briefs.

Protocol

  • Support onboarding and protocol for expatriate staff with the Ministry of Foreign Affairs.

Communication

  • Contribute to the communication strategy and support event logistics.

Interim Duties

  • Provide backup support to the AFD Director’s assistant.

Required Skills & Qualifications

  • Strong organizational and reporting skills
  • Excellent interpersonal communication
  • Proactive, detail-oriented, and autonomous
  • Mastery of digital tools (Office Suite, databases)
  • Prior experience in financial/development settings preferred
  • Fluency in English; French is an asset

Working Conditions

Based in Nairobi, Kenya at the PROPARCO Regional Office. Occasional travel may be required. The position requires flexibility, reliability, and a high degree of discretion
