We are looking for an Operations and Admin Associate to join our team and play a pivotal role in streamlining operations, supporting our team, and ensuring smooth administrative functions. Key Responsibilities

Operations Management

  • Process Optimization: Develop and refine operational workflows to improve efficiency across the organization.
  • Vendor Coordination: Manage relationships with service providers, suppliers, and third-party vendors.
  • Data Management: Oversee data collection, storage, and reporting for operational purposes.
  • Compliance: Ensure all company policies, procedures, and operations align with legal and regulatory requirements.

Administrative Support

  • Scheduling: Manage the calendars of senior team members and coordinate meetings, events, and appointments.

  • Correspondence: Handle internal and external communications, including responding to inquiries and drafting emails or reports.
  • Resource Allocation: Track office supplies and ensure resources are adequately available.
  • Onboarding: Support the onboarding process for new hires, including setting up accounts and providing necessary materials.

HR Support

  • Recruitment Assistance: Coordinate interviews, manage job postings, and communicate with candidates.
  • Employee Engagement: Help plan and execute employee events and initiatives to foster a positive work environment.
  • Policy Documentation: Assist in drafting and updating HR policies and procedures.

Financial Administration

  • Invoicing and Payments: Assist in preparing invoices, processing payments, and managing financial documentation.
  • Expense Tracking: Monitor and report on operational expenses to ensure budget adherence.

Customer Support

  • Client Engagement: Respond to inquiries from clients and stakeholders, ensuring timely and professional communication.
  • Problem Solving: Act as a point of contact to resolve operational or administrative challenges promptly.

Qualifications and Skills

Education and Experience

  • Bachelor’s degree in Business Administration, Human Resources, or a related field (preferred but not mandatory).
  • 2+ years of experience in an administrative or operations role, preferably in a start-up or HR-related environment.

Skills

  • Organizational Skills: Exceptional ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Communication: Strong written and verbal communication skills.
  • Tech-Savvy: Proficient in MS Office Suite, project management tools (e.g., Asana, Trello), and HR software.
