Position Summary:

We are seeking a motivated Procurement Intern to support the Procurement Unit in its daily operations, particularly in managing procurement processes, supplier follow-up, and maintaining accurate documentation. The role will provide valuable exposure to the procurement cycle within a manufacturing and distribution environment. The intern will also assist in tender documentation and ensure procurement activities are carried out in line with company policy and industry standards.

Key Responsibilities:

Coordination of Procurement Processes.

  • Receive and review purchase requisitions from various departments and ensure they are properly approved.
  • Assist in preparing and issuing Local Purchase Orders (LPOs) to approved suppliers.
  • Follow up on supplier deliveries and confirm that items meet the required specifications and timelines.
  • Update and maintain a supplier database for easy reference.

Vendor & Internal Liaison

  • Liaise with suppliers and service providers to follow up on deliveries, clarifications, and queries.
  • Support internal departments with updates on pending procurement requests.
  • Assist in preparing reports for internal procurement reviews or meetings such as the Tender Committee.

Basic Contract & Order Tracking

  • Monitor supplier performance on active orders and update the Procurement Officer on any delays or issues.
  • Ensure accurate filing of procurement records such as delivery notes, quotations, LPOs, and invoices.
  • Help prepare basic summaries or updates on procurement status as required.

Cross-Departmental Coordination

  • Work closely with the warehouse/store to confirm goods received against orders.
  • Assist the procurement and logistics teams in coordinating inbound deliveries to the warehouse.
  • Support communication between procurement and other departments like production and finance.

Filing and Documentation

  • Organize procurement files both physically and electronically in line with audit requirements.
  • Maintain updated tracking sheets for all procurement activities.
  • Assist in generating procurement reports as needed.

Other Duties

  • Perform any additional tasks assigned by the Procurement Officer or Line Manager in support of the department

Qualifications and Experience:

  • Diploma or Degree in Procurement, Purchasing, Supply Chain Management, or Business Administration from a recognized institution.
  • At least 1 year of internship or industrial attachment experience in a procurement or supply chain role, preferably in a manufacturing or distribution company.
  • Member of KISM/CIPS will be an added advantage.
  • Proficiency in Microsoft Office tools, especially Excel.
  • Strong attention to detail and ability to follow procedures.
  • Good interpersonal and communication skills.
  • Basic understanding of procurement principles and documentation
