Overview
The Finance &Admin Officer plays a vital role in supporting the daily operations of the organization. While the role provides basic finance support, the focus is on ensuring smooth administrative systems, reliable office operations, and strong logistical coordination. This position is ideal for someone highly organized, proactive, and eager to build a career in operations and administration. The Officer will manage office resources,coordinate staff support services, and assist in maintaining accurate records for finance and compliance.
This entry-level role provides an opportunity to grow into a key operational support function, learning how effective administration underpins the success of a dynamic, impact-driven organization.
Key Responsibilities
a) Administration – 60%
- Manage day-to-day office operations, supplies, and facilities.
- Coordinate logistics for meetings, workshops, and travel (venue booking, transport, accommodation).
- Maintain filing systems (physical and digital) for contracts, staff records, and official correspondence.
- Provide ad hoc support on projects, events, and other tasks as assigned.
- Maintain office asset and inventory registers, ensuring timely updates.
b) Finance Support – 25%
- Process payment requests, staff reimbursements, and supplier invoices.
- Support petty cash management and ensure accurate record keeping.
- Assist in preparing simple reconciliations and collating monthly support documents for finance reports.
- File finance-related documents systematically for audit readiness.
c) Compliance & Support – 15%
- Ensure all administrative and financial activities comply with organizational policies.
- Assist in audit preparations and provide required documentation.
- Support procurement processes including vendor sourcing, quotations, and purchase orders.
- Participate in training sessions to improve finance and admin knowledge.
Requirements
Qualifications &Competencies
- Bachelor’s degree or diploma in Business Administration, Office Management,Finance, or related field.
- Strong organizational and multitasking skills with attention to detail.
- Good communication and interpersonal abilities.
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Basic exposure to finance or accounting is an advantage but not mandatory.
- Self-motivated, reliable, and eager to learn.
Growth Path
This role offers exposure to both admin and finance, allowing the individual to grow based on their strengths and interests.
- 1–2 years: Admin Officer (focusing on HR support, procurement, logistics) or Junior Finance Officer (basic accounting and reporting).
- 3–4 years: Operations Officer or Finance Officer, taking on more responsibility for systems and team coordination.
- 5+ years: Senior Operations/Administration Manager, Grants &Compliance Officer,or Finance Manager depending on specialization.
