Reports To: P.A to the Director
Location: Nairobi

Job Purpose

To provide support in the procurement, front office, and secretarial functions, ensuring seamless continuity of operations. The role ensures timely procurement processes, efficient front office service, and effective administrative and secretarial support.

Key Responsibilities

A. Procurement Support

  1. Assist in preparing purchase requisitions and orders.
  2. Maintain an updated supplier database and procurement records.
  3. Support in preparation of procurement reports and filing documents.
  4. Ensure compliance with company procurement policies and procedures.

B. Front Office / Reception Duties

  1. Manage the reception area, ensuring a welcoming and professional environment.
  2. Receive, screen, and direct visitors and phone calls appropriately.
  3. Handle incoming and outgoing correspondence (mails, parcels, and deliveries).
  4. Maintain the visitors’ register and ensure office communication runs smoothly.
  5. Provide general administrative assistance and support to office operations.

C. Secretarial & Administrative Support

  1. Type, format, and prepare letters, memos, and official documents.
  2. Take minutes and follow up on action points as required.
  3. Maintain and update filing systems (electronic and physical).
  4. Handle confidential information with discretion.

Qualifications and Experience

  • Diploma in Business Administration or a related field.
  • At least 1–2 years of relevant experience in office administration, or secretarial roles.
  • Knowledge of MS Office applications.
  • Excellent communication and organizational skills.
  • Professional demeanor, integrity, and ability to multitask.
  • Strong attention to detail and customer service orientation.
