About KEPSA

The Kenya Private Sector Alliance (KEPSA) is the apex body for the private sector in Kenya. KEPSA brings together local and foreign business associations, federations, chambers of commerce, professional bodies that are sectoral umbrella bodies and individual sectoral business membership organizations, corporates, from multinationals to large and medium- sized companies, SMEs, and start-ups from all sectors of the economy, across all parts of the country. This gives KEPSA a reach of over 2 million businesses directly and indirectly. KEPSA also serves as the national focal point of the East Africa Business Council (EABC), the umbrella body of businesses in East Africa. It hosts the International Chamber of Commerce (ICC) Kenya Chapter, a member of the ICC with a reach of over 45 million businesses globally.

KEPSA Foundation is the social development arm of the Kenya Private Sector Alliance (KEPSA), mandated to advance Kenya’s socio-economic transformation agenda through private sector–led solutions. The Foundation plays a catalytic role in addressing systemic development challenges by mobilizing business actors, partnerships, and resources to deliver inclusive and sustainable impact. Its interventions are anchored around four strategic priority areas: Women and Youth Empowerment; Leadership Development and Childcare; Climate Change and Sustainability; and Governance, Community Outreach, Partnerships, and Networks. Through these focus areas, the Foundation provides a coordinated platform for the private sector to contribute meaningfully to social and economic transformation, while strengthening the business environment and enhancing Kenya’s global competitiveness.

Role Summary

The Monitoring and Evaluation (M&E) Assistant will play a critical role in strengthening the Foundation’s results-based management framework by supporting high-quality data collection, systematic monitoring of program implementation, and effective community accountability processes. The role will ensure the integrity, accuracy, and timeliness of field-based data, support performance tracking against program objectives, and contribute to learning and adaptive management. By generating credible evidence and insights, the M&E Assistant will support informed decision-making, continuous improvement, donor reporting, and accountability across all KEPSA Foundation programs and partnerships.

Responsibilities

The M&E function supports KEPSA Foundation’s results-based programming, accountability to stakeholders, and continuous learning. The role strengthens the design and operationalization of M&E systems, ensures the generation of high-quality and credible data, and supports adaptive management across Foundation programs. Through close collaboration with program teams, partners, and communities, the M&E Assistant contributes to evidence-driven decision-making, performance improvement, and sustainable program impact.

1) M&E Framework and Strategy

  • Establish, update, and manage Monitoring Action Trackers and Indicator Performance Tracking Tables for all projects, including PRIME and output tracking tools.
  • Manage and regularly update the Gender and SME Balanced Scorecard to support strategic performance monitoring and inclusion goals.
  • Support the planning and organization of surveys, evaluations, operational research, and other data collection initiatives across programs.

2) Data Collection, Validation, and Analysis

  • Work closely with program teams to support efficient project data management, including the collection, organization, verification, and validation of data prior to entry into designated databases.
  • Participate in routine field monitoring of program activities, prepare monitoring reports, and provide timely feedback and recommendations to supervisors.
  • Perform accurate data entry, generate data summaries, and conduct regular trend analysis as required by program teams.
  • Facilitate community and beneficiary feedback mechanisms, including Focus Group Discussions (FGDs) and semi-structured interviews, and support follow-up actions with program teams.

3) Data Management and Archiving

  • Maintain and regularly update comprehensive project, participant, and beneficiary databases to ensure accurate and up-to-date records.
  • Assist in developing and maintaining systems for analyzing and managing beneficiary databases.
  • Support the management of digital and physical data archiving systems to ensure secure storage, backups, and ease of retrieval.
  • Support data retrieval and archiving processes to ensure availability of information for reporting, learning, audits, and decision-making.

4) Reporting and Knowledge Sharing

  • Support the preparation of high-quality monitoring reports, dashboards, and performance summaries for internal management and donor reporting.
  • Support the documentation of success stories, case studies, and human-interest stories that demonstrate program outcomes, best practices, and impact.
  • Contribute to periodic reflection and learning sessions by synthesizing monitoring findings and lessons learned.
  • Support the dissemination of knowledge products to inform program improvement and broader sector learning.

5) Risk Identification and Adaptive Management

  • Identify implementation risks, data quality issues, and performance gaps through routine monitoring and analysis.
  • Provide evidence-based feedback and practical recommendations to program teams and supervisors to support timely corrective actions and adaptive management.

6) Capacity Building and Stakeholder Engagement

  • Support capacity-building efforts for program staff, field teams, and partners on M&E tools, data collection methodologies, and reporting standards.
  • Engage implementing partners, community stakeholders, and relevant institutions to promote consistent and harmonized data collection and reporting practices.
  • Provide ongoing technical support to partners to strengthen ownership and effective use of M&E systems and frameworks.

Qualifications

  • A minimum of a Bachelor’s Degree or Diploma in Social Sciences, Development Studies, Population Studies, or a related field, with training in Monitoring and Evaluation, research methodologies, statistical analysis, or organizational development.
  • At least 1–3 years of relevant experience in program monitoring and evaluation.
  • Demonstrated experience in conducting evaluations and research, with strong qualitative and quantitative data analysis skills using tools such as SPSS, STATA etc
  • Strong planning, organizational, coordination, reporting, and time management skills.
  • Excellent analytical, critical thinking, and problem-solving abilities.
  • Strong verbal and written communication skills.
  • Ability to work effectively both independently and as part of a multidisciplinary team.
  • Proven technical expertise in data analysis software and experience using mobile and digital data collection tools, including tablet-based and electronic data collection systems.
  • Experience with web-based data management and analysis tools, digital data collection platforms, mapping, Google applications, data visualization, and interactive dashboards.
