Manufacturing Admin Intern

Key Responsibilities.

  • Data Management & MRP Administration
    • Capture and process manufacturing data (ASSEMBLIES) in the SAGE MRP system accurately and within agreed timelines.
    • Ensure data accuracy and integrity in the system to reflect real-time production status.
    • Create and maintain comprehensive manufacturing records and documentation for audit and tracking purposes.
    • Generate daily and weekly production reports and performance metrics to  support decision-making.
    • Manage work orders and production tracking to ensure all jobs are accounted for and closed properly.
  • Inventory Management
    • Conduct monthly stock counts and reconciliations to ensure system figures match physical inventory.
    • Manage the finished goods store operations, ensuring organization, security, and proper handling of materials. Monitoring and Flagging Aged stocks
    • Maintain accurate stock records in SAGE, investigating and resolving any variances immediately.
    • Implement and enforce strict stock control procedures to minimize shrinkage and errors.
    • Coordinate stock movements and transfers between departments or locations efficiently.
    • Monitor stock levels continuously and identify slow-moving or obsolete items for management action.
  • Production Planning Support
    • Support the planning process by providing real-time finished goods stock  information.
    • Link finished goods inventory data with production planning to optimize run schedules.
    • Coordinate with the production team regarding material availability to prevent downtime.
    • Assist in production scheduling by providing insights based on current stock levels and pending orders.
    • Provide stock analysis to help balance inventory levels with customer demand.
  • Quality & Compliance
    • Ensure compliance with all data integrity standards and company policies regarding information management.
    • Maintain proper documentation and record-keeping systems that meet audit requirements.
    • Support quality initiatives and corrective actions by providing accurate data and traceability.
    • Adhere to Good Manufacturing Practices (GMP) and safety standards within the office and warehouse environments.
  • Reporting & Analysis
    • Prepare daily, weekly, and monthly operational reports.
    • Analyse stock movement trends to identify patterns and areas for optimization.
    • Identify discrepancies in data or stock and implement corrective actions to prevent recurrence.
    • Provide management with accurate operational data to support cost analysis and strategic planning.
  • Continuous Improvement
    • Identify opportunities for process improvements in data entry, Inventory management, and reporting.
    • Support lean manufacturing initiatives by reducing waste in administrative and inventory processes.
    • Contribute to cost reduction efforts through better inventory control and data accuracy.
    • Participate actively in 5S and continuous improvement activities within the  department.
  • Cross-functional Collaboration
    • Coordinate effectively with production, procurement, and warehouse teams to ensure seamless operations.
    • Support customer service by providing timely and accurate stock availability information.
    • Liaise with quality control regarding finished goods specifications and release status.
    • Work with the finance department on inventory valuation and month-end closing activities.
  • To carry out any other duties as may be required by the Management from time to time.

EXPERIENCE/SKILLS REQUIRED

  • Degree/Diploma in Business Administration, Supply Chain Management, Industrial Engineering, or related field.
  • 2 to 4 years of experience in a manufacturing environment, preferably in print or packaging.
  • Strong proficiency in MRP/ERP systems (SAGE experience is highly preferred).
  • High competence level with Microsoft Office applications, particularly Excel
  • Strong analytical skills with the ability to interpret data and draw logical  conclusions.
  • High level of accuracy and strong attention to detail.
  • Excellent organizational and planning skills with the ability to prioritize tasks.
  • Good interpersonal and communication skills to work effectively
  • Understanding of inventory management principles and warehousing best practices.
  • Ability to work under pressure and meet strict reporting deadlines
