JOB TITLE: Supply chain Intern – Kenya Country Office

TEAM/PROGRAMME: Operations

LOCATION: Nairobi

ROLE PURPOSE:

The Supply chain Intern is responsible for supporting the logistics unit with asset and warehouse management and processing requests for procurement of goods and services for both the Nairobi Country Office and field offices and ensure delivery to the program.

SCOPE OF ROLE:

Reports to: Supply Chain Coordinator-Fleet, Warehouse and Assets

Staff directly reporting to this post: None

KEY AREAS OF ACCOUNTABILITY:

Warehousing
•    Support with receiving of goods in the warehouse, ensure the receipt physical quantity is matching the delivery note and liaise with Program for inspection of the goods
•    While the Supply Chain Assistant is away, provide cover in the warehouse with releasing of program stock for distribution, arranging the warehouse and updating the bin cards
•    Support the Supply Chain Assistant to plan and arrange dispatch to respective field offices
•    Support in updating stock movements in TIM
•    Support in dispatching stock items to respective field locations ensuring that all documentation are available and entries correctly made
Fleet 
•    Support the Supply chain Assistant to analyse and check fleet data on running costs, utilisation and recharging.
•    Support the Supply Chain Assistant to review rotation and fair distribution of field hired vehicles and report any gaps identified
•    Support in proper handling of incident/accidents’ insurance claims and negotiation of insurance benefits
•    Support in consolidation of fleet related procurement i.e tires across the field offices and share with Procurement for bulk processing.
Assets
•    With the help of Supply Chain Coordinator, support in tagging of new assets and updating the asset register
•    Support in ensuring that staff being allocated new assets have signed the asset issue form and is filed.

ProSave and Procurement 
•    Support with draft catalogue generation for upload in ProSave
•    Compile fully signed FWAs and share with Supply Chain Officer for Upload in ProSave
•    Support with Registration of Suppliers in Prosave
•    Through guidance of Supply Chain Officers and Assistant, obtain quotations or supply bids in line with SC procurement thresholds and policy.
•    Complete competitive bid analysis and obtain required approvals as per the Supply chain manual

•   Support in processing invoice payments, ensure all stages of procurement check list has been completed and pass to Senior Procurement Officer for review and sharing with finance.

Filing systems
•    Make sure that all Supply Chain documents, policies, waivers and contracts are correctly filed in the open and closed procurement files, in consecutive number.
•    Ensure all asset issue forms are correctly filed and easily accessible
•    Ensure all signed asset verification reports are well filed
•    Ensure all beneficiary signed distribution lists and donation certificates are correctly filed

QUALIFICATIONS AND EXPERIENCE

•    Diploma/Degree or equivalent and professional training in supply chain management
•    At least 3-6months experience in supply chain areas-Procurement, Warehousing and Logistics
•    Should have successfully completed an industrial attachment in an institution
•    Highly developed interpersonal and communication skills including influencing, negotiation
•    Highly developed cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures
•    Strong results orientation and commitment
•    Ability to use excel, word and outlook
•    Should possess strong work ethics
•    Fluency in English, both verbal and written
•    Commitment to Save the Children values
