Emerald Dental Clinic is looking for a warm, organized, and proactive Front Office Administrator to be the first point of contact for our patients and the operational backbone of our dental clinic.
KEY ROLES AND RESPONSIBILITIES
1. Patient & Front Desk Management
- Greet patients warmly on arrival and manage the check-in and check-out process
- Answer and direct phone calls, emails, and online enquiries in a professional manner
- Schedule, confirm, and follow up on patient appointments
- Manage patient records, ensuring accuracy, confidentiality, and compliance with data protection policies
- Handle patient queries and direct escalations to the appropriate clinical staff
2. Billing & Administration
- Process payments, invoices, and insurance claims accurately and in a timely manner
- Reconcile daily cash and card transactions and prepare end-of-day financial summaries
- Maintain and update patient billing records and follow up on outstanding balances
- Assist with procurement of front office supplies and manage inventory
3. Clinic Coordination
- Coordinate appointment scheduling to optimize dentist calendars
- Liaise with clinical staff to ensure smooth patient flow throughout the day
- Maintain a clean, welcoming, and organized reception and waiting area
- Support administrative tasks including filing, correspondence, and report preparation
QUALIFICATIONS AND EXPERIENCE
- Diploma or Bachelor’s degree in Business Administration, Health Records Management, or a related field
- At least 2 years of experience in a front office, customer service, or administrative role (healthcare setting is an advantage)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with clinic or hospital management software is a plus.
