Médecins Sans Frontières (MSF) translates to Doctors without Borders. MSF medical teams work in more than 75 countries to provide lifesaving assistance where it is needed the most. In 2022, nearly 68,000 people worked with MSF in conflicts, epidemics, following natural disasters and where people would not otherwise have access to medical care. We work according to principles of independence, neutrality and impartiality; providing assistance to people who need it the most, regardless of who they are, where they come from, their political or religious beliefs.
The organisation has some of its largest medical projects across East Africa including in Sudan, South Sudan, Kenya, Tanzania, Uganda, Ethiopia, Somalia and Burundi. In these countries, MSF runs hospitals, health centres and mobile clinics and launches emergency projects as spikes in healthcare needs arise.
MSF also has a regional office in Kenya which supports our medical programmes in the country and those surrounding it, recruits staff to help run our operations around the world and raises awareness of humanitarian crises that we are responding to.
Transport & Customs Intern
Main Purpose
To learn through the support of the Transport and Customs Manager (TCM), the daily operations of the transport department and to understand the collaboration with the Procurement, Warehouse and Supply Operation Department on different supply chain tasks.
Key learning areas
- Under the supervision of TCM understand and coordinate the clearing agents’ tasks, ensuring freights are cleared on time at no/minimum costs.
- Learn how to coordinate and monitor the transportation of goods in and out of MSF Supply Kenya until delivery to missions.
- Monitoring the implementation of the Transport and Customs-related procedures, ensuring compliance with MSF standards, protocols and procedures.
- Support in consolidation of packing lists for goods received at MSF Supply Kenya warehouse and creation of freight documents in nodhos to be shared with missions for the pre-clearance process.
- Under the supervision of the TCM, and in close collaboration with the mission’s Transport Managers, and Intersectional Customs Manager (MICO) , follow up the tax exemption file to ensure faster receipt of Tax Exemption (TE).
- Understand the Export Processing Zone (EPZ) Warehouse operations and management, keeping proper records of freights in and out of Transit Go-Down (TGD) and EPZ warehouse and filing monthly returns with Kenya revenue Authority (KRA) and quarterly to EPZA.
- Where applicable and with the support of TCM, follow up with clearing agents and transporters to receive the Certificates of Exports (COE)
- Following up on goods received in TGD, keeping records and ensuring Transit extensions are done on time.
- Under the supervision of the TCM, learn how to follow up and ensure licences for EPZ and TGD warehouses are renewed and in place without any penalties.
- Under the supervision of the TCM, learn how to ensure transport invoices are screened forward for validation and sent to the General Manager for signature and forwarded to Finance for payment on time.
- Consolidate the transporters and clearing agents’ invoices and with the support of the TCM, ensure they are charged according to the agreed tariff’s.
- Follow up and do proper archiving of freight documents.
- With the guidance of the TCM, participate in the preparation of monthly reports, KPIs
- Develop a video explaining the tools and ordering process of the international orders routed to MSF Supply Kenya before the end of the internship period.
Qualification and requirements
- Bachelor’s degree and specialization in Logistics/Supply Chain or related field, having graduated not more than six (6) months.
- Strong interpersonal and communication skills.
- Computer literacy.
- Attention to details and accuracy.
- Ability to work independently and as a member of a team.
- Proficiency in written and spoken English and Swahili.
- Write discovery report / feedback at the end of the internship period.
