Title: Finance & Administration Assistant
Contract period: 5 months
The Finance and Administration Assistant will provide support for the organization’s finance, procurement, and administrative functions during a maternity leave cover period. The role encompasses the day-to-day financial operations, statutory compliance, payroll processing, procurement coordination, and general office administration, while ensuring adherence to organizational policies and procedures.
This position is ideal for a proactive, detail-oriented finance professional who is able to work independently, maintain high levels of accuracy, and support operational continuity within a small, dynamic team.
Key Responsibilities
Finance & Accounting
- Process and accurately post financial transactions in the accounting system.
- Support payment processing and maintain proper supporting documentation.
- Prepare bank reconciliations and support banking processes.
- Process staff cash advances and maintain related records.
- Support payroll preparation, and accurate remittance of statutory deduction PAYE, SHIF/SHA, NSSF, Housing Levy and other obligations.
- Maintain and update the asset register.
- Support preparation of financial reports and audit schedules.
- Monitor and reconcile petty cash.
- Upload the approved budgets to the accounting system.
Procurement & Administration
- Support procurement processes in line with organizational policies.
- Maintain proper filing systems for finance, HR and administration records.
- Coordinate logistical arrangements for meetings, travel, and office activities.
- Support office administration and reception management.
- Support office insurance and related administrative renewals.
- Maintain an organized and conducive office environment.
- Take minutes during staff meetings and share action points.
- Handle office correspondence, phone engagements and general administrative support.
- Support in staff welfare courses.
Qualifications & Experience
- Bachelor’s degree in Accounting, Finance, Commerce or related field.
- CPA Part II minimum.
- Minimum 2 years’ relevant experience in finance and administration.
- Experience in NGO or donor-funded environments is an added advantage.
- Experience in payroll processing, reconciliations, and statutory compliance.
- Experience using QuickBooks accounting system and familiarity with Microsoft 365 platform.
