Job Summary
The project Assistant will support the Project Coordinator and project team in the effective coordination, planning, and execution of the project. This role involves administrative tasks, communication management, procurement support, document control, and ensuring adherence to project timelines and budgets. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.
Key Responsibilities
1. Administrative Support:
- Assist the Project Manager with day-to-day administrative tasks.
- Maintain Project schedules, track deadlines, and ensure timely completion of tasks.
- Coordinate meetings, prepare agendas and record minutes.
- Handle correspondence, phone calls, and emails related to project activities.
2. Monitoring and evaluation.
- Assist in project monitoring and evaluation related activities.
- Prepare reports and other relevant project documents in relation to the project.
- Support monitoring of project progress and expenditures are as per project budget and work plans.
- Measurement of project outcomes and indicators.
3. Document Control:
- Organize and maintain project documentation, including contracts, reports, and presentations.
- Ensure all documents are properly filed, updated, and easily accessible.
- Manage version control and ensure compliance with document retention policies.
4. Financial Administration:
- Assist in the preparation and monitoring of Project budgets.
- Procurement support through Process invoices, expense reports, and purchase orders.
- Track project expenditures and report on budget status to the Project Coordinator.
5. Communication Management:
- Serve as a point of contact for project stakeholders, including clients, vendors, and team members.
- Disseminate project updates and information to relevant parties.
- Coordinate internal and external communications to ensure Project Alignment.
6. Project Coordination:
- Support Project Planning and Implementation activities as per the Project Workplan, and Gant Chart.
- Monitor project progress and identify potential issues or delays.
- Assist in the preparation of Project reports and presentations.
- Support Ensure safe custody of all Project Reports and Outputs.
- Coordinate resource allocation and manage project logistics.
Qualifications:
1. Education and experience
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- One-year experience in project administration or a similar role.
- Training in monitoring and evaluation.
2. Skills and Competencies
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Advanced knowledge of Microsoft Office Suite (Word, Excel, and Power Point).
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
